Notification of Access Arrangements and Reasonable Adjustments

Guidance

Before notifying NCFE of an Access Arrangement or Reasonable Adjustment, please ensure you’ve taken a look at our Access Arrangements and Reasonable Adjustments policy and Guidance for Applying Access Arrangements and Reasonable Adjustments.

Please also ensure that you have registered the learner(s) before submitting your request.

Timescales

In line with our policy, we require centres to notify us of any Access Arrangements or Reasonable Adjustments that their learners require prior to any NCFE assessment taking place.

Centres must notify NCFE of any Access Arrangements or Reasonable Adjustments at least 10 working days prior to any learner completing an NCFE assessment.

Centre Delegated Adjustments

Some Access Arrangements and Reasonable Adjustments are delegated to our centres and may be applied for both the internal and external assessment components, without prior notification to NCFE. Please refer to our Guidance for Applying Access Arrangements and Reasonable Adjustments for a list of our Centre Delegated Adjustments.

Please note, any arrangements put in place must reflect the learner’s normal way of working within the centre, and depending on the Access Arrangement or Reasonable Adjustment, formal evidence of need may still need to be kept within your centre and produced upon request to NCFE.

Should your learner(s) require any modified assessment papers or materials (including any non-interactive electronic pdf copies of assessment papers or materials for use with a Computer Reader or Speech Recognition Technology) please complete our Modification Request form here.

What happens next? 

  • Upon submitting your request, you’ll be directed to an acknowledgement page to confirm your request has been received.
  • All Access Arrangements and Reasonable Adjustments will be logged centrally and we may contact you at a later date to request supporting evidence of need to validate any access arrangements/reasonable adjustments you have in place for your learner(s). Inspections may be carried out remotely or during any centre external quality assurance visit.

*PDF copies of the external assessment to be used with a computer reader must be requested at least 10 working days prior to the assessment date using our Modification Request Form.

*The Scribe cover sheet can be found alongside its guidance on pages 31 and 32 of the “Guidance for Applying Access Arrangements and Reasonable Adjustments."

Please note: Any requests for modified assessment papers submitted using this form will not be processed. Any request for modified or coloured papers must be submitted using our Modification Request form in line with our advertised timescales

Why does the learner need a Reasonable Adjustment(s)? Please tell us more about the request so we can make sure we understand your learner’s needs and provide them with the appropriate support.

What type of evidence is available to support this request? Centres are required to ensure evidence provided is relevant to the reasonable adjustment(s) requested, is fully completed (signed and dated) by relevant personnel and does not include unnecessary information.
Declaration
On behalf of my centre I confirm that I have read and understand the Reasonable Adjustments and Special Considerations policy and the NCFE Guidance on Accessing Reasonable Adjustments.
I accept that NCFE will hold and process electronically the information given and may use it for any purpose deemed relevant to this request.
The learner, that this application relates to, has provided their consent prior to the processing of this online application and I hold (and will retain for not less than 2 years) written evidence of this signed learner consent.
I confirm appropriate evidence to support this application will be available within the centre for inspection, if requested by NCFE.
I confirm that both the centre and the learner support this reasonable adjustment request.
I confirm the Declaration
